Dear Parents and Carers

Thank you for your interest in becoming a member of our school community. St John the Baptist Catholic School is part of the Diocese of Broken Bay Catholic School System. We enjoy a rich relationship with our local parish and are continually strengthening our partnership.

The Enrolment Process is designed to give you opportunities to share with us your dreams and desires for your child as they commence their school journey. It affords us an opportunity to share with you the many wonderful aspects of our school. Through open and transparent discussion we can work together to ensure a quality Catholic education for your child.

Central to this process is the completion of both the Enrolment Form and the Parish Reference Form.

Please return the completed Enrolment Form and the required documentation along with the enrolment administration fee of $40 to the school office. At this time an appointment time will be made for you to meet with me.

The Parish Reference Form is to be completed and an appointment made with Father Hill at the Parish Office (Ph 4341 1073). If you are not from Woy Woy Parish or of the Catholic Faith please have your Parish Priest or Minister complete the form before you return it to Father Hill. The Section “Statement of Faith Background” on the Parish Reference Form is retained by the School following the Enrolment Committee’s deliberations.

The Schools Enrolment Committee will then meet to review your application.
 
If enrolling for Kindergarten it is expected that your child will attend our Early Birds Orientation Program, which will be conducted in Term 4. Children enrolling in other grades will be invited to attend an orientation day on a mutually arranged date, where appropriate.

Fees for 2010
School fees are billed over three terms (Terms 1, 2 and 3) and can be paid by direct debit, EFTPOS, BPay, Credit Card, Cheque or Cash. All fees are due for payment 30 days from date of Invoice unless an application for “Time Payment” is completed and approved. Forms must be completed and are available from the Office and must be completed each year.

Tuition Fees One Child $1,170
Two Children $ 936
Three Children $ 585
Fourth and subsequent Children Free

Building Levy $720.00 per family
This is a Diocesan Levy which covers building and maintenance for all Diocesan Schools.

School Education Fee $336.00 per student
The School Education Fee covers:
• curriculum resources such as paper, books, copyright, computers, teaching aides
• the cost of excursions
• buses to and from Churches, Swimming and Athletics Carnivals
• administrative costs including cleaning, maintenance, insurances and utility charges.

Please Note: Years 5 and 6 attend overnight camps are an additional cost and not included in the School Education Fee.

SIBLING DISCOUNT: You must apply for a sibling discount in November each year, by completing an application form. A discount applies if an elder child/ren attends St Joseph’s, St Edward’s, St Leo’s and/or a Catholic School in the Broken Bay Diocese.

SPLIT BILLING: Is available by completing the necessary documentation.

TIME PAYMENTS: All families wishing to pay their fees by time payments MUST complete a yellow form EACH YEAR which is enclosed or available from the School Office. We ask that all families applying for this privilege do so on the understanding that they meet this commitment as non payment seriously affects the school’s cash flow. Applications for Time Payment must be lodged prior to the 15th February with the 1st instalment due on 15th February. To calculate your payment choice:

Monthly Payments: Divide the annual amount by 10
Fortnightly Payments: Divide the annual amount by 20
BPay: The Biller Code and Customer Reference appears in the box on the bottom right hand side of statement.
Credit Card: Monthly Debits on the 15th of each month (forms available from Office)
Bank Direct Debit Details available from School Office

Payments can be made at the School Office with
EPTPOS, Cheque, Cash, Credit Card – in person or over the phone (not Diners/America Express).

ALL TIME PAYMENTS MUST BE COMPLETED BY THE 15TH NOVEMBER 2010

Hardship: The school’s Enrolment Policy provides for the granting of assistance with school fees where genuine financial hardship exists. Should this be the case, you must provide details of your current financial hardship and meet with the School Principal. This assistance must be reassessed each school year.

Standard Collection Notice
Catholic Schools Office, Diocese of Broken Bay

1. The School and the Diocese both independently and through its Schools' collect personal information, including sensitive information about pupils and parents or guardians before and during the course of a pupil’s enrolment at the School. The primary purpose of collecting this information is to enable the School to provide schooling for your son / daughter.

2. Some of the information we collect is to satisfy the School’s legal obligations, particularly to enable the school to discharge its duty of care.

3. Certain laws governing or relating to the operation of schools required that certain information is collected. These include Public Health and Child Protection Laws.

4. Health information about pupils is sensitive information* within the terms of the National Privacy Principles under the Privacy Act. We may ask you to provide medical reports about pupils from time to time.

5. The School from time to time discloses personal and sensitive information to others for administrative and educational purposes. This includes:
• Government departments
• The Catholic Schools Office
• The Catholic Education Commission
• The Diocese of Broken Bay and its parishes
• Systemic Schools within the Broken Bay Diocese
• Medical Practitioners
• People providing services to the School, including specialist visiting teachers, (sports) coaches, volunteers and counsellors.

6. If we do not obtain the information referred to about we may not be able to enrol or continue the enrolment of your son or daughter.

7. Personal information collected from pupils is regularly disclosed to their parents or guardians. On occasions information such as academic and sporting achievements, pupil activities and other news is published in School newsletters, magazines and on our website.

8. Parents may seek access to personal information collected about them and their son / daughter by contacting the School Principal. Pupils may also seek access to personal information about them. However, there will be occasions when access is denied. Such occasions would include where access would have an unreasonable impact on the privacy of others, where access may result in a breach of the School’s duty of care to the pupil, or where pupils have provided information in confidence.

9. As you may know the School from time to time engages in fundraising activities. Information received from you may be used to make an appeal to you. It may also be disclosed to organisations that assist in the School’s fundraising activities solely for that purpose. We will not disclose your personal information to third parties for their own marketing purposes without your consent.

10. If you provide the School with the personal information of others, such as doctors or emergency contacts, we encourage you to inform them that you are disclosing that information to the School and why, that they can access that information if they wish and that the School does not usually disclose the information to third parties.

*Sensitive information is described in the Guidelines to the National Privacy Principles as information or opinion about an individual’s racial or ethnic origin, political opinions, membership of a political association, religious beliefs or affiliations, philosophical beliefs, membership of a professional or trade association, membership of a trade union, sexual preferences or practices, criminal record or health information about an individual.
